Scan booking

Your scanner's utilization is currently capped by how often a staff member remembers to offer it. Self-serve booking removes that ceiling entirely, and the monthly re-scan engine means the second appointment is not left to anyone's memory.

Day 30

Every booking that depends on a person is a booking you lose

The maths are unforgiving. If scans only get booked when the desk is quiet enough to offer one, your utilization is a function of staffing rather than demand. Members who would happily book at 9pm on a Sunday never do, because the only booking mechanism is a conversation during business hours with someone who may be busy.

Today
  • Booking happens only when staff offer it
  • No mechanism outside opening hours
  • Cancellations leave dead slots nobody fills
  • Second appointments depend on someone remembering
  • Intake gets taken verbally, inconsistently, on arrival
With MARCH
  • Members book themselves from any link, any hour
  • Evenings and weekends produce bookings
  • Waitlists fill cancellations automatically
  • The day-30 invite fires whether or not anyone remembers
  • Intake is answered before arrival, the same way every time

What the member actually experiences

Two taps. No download, no account creation, no phone call.

1
They tap a link

From your Instagram bio, a QR code at the front desk, a member email, or your existing website. The same link works everywhere, so you are not maintaining four versions of it.

2
They pick a day and a time

Only genuinely available slots appear, respecting which staff run scans, how long an appointment takes and what else is already on the calendar.

3
They answer intake

Goal, training history, available days, obstacles, limitations. Short, and it does double duty — it routes the follow-up and feeds the programming later.

4
They get a confirmation and a reminder

Email or text, with a day-before reminder that is the single most effective no-show reduction available.

5
They arrive and you already know them

The staff member running the scan opens the appointment and sees what the member said they want and what has stopped them before.

6
They leave with the next one booked

Rebooking on the spot is the strongest version. The automatic invite is the safety net for when it does not happen.

The monthly re-scan engine

This is the part that converts a one-time measurement into a retention mechanism, and it is the single most important feature on this page.

1
Day 30: the invite

An automatic message by email or text, timed from their actual scan date rather than a calendar month, inviting them to book their next appointment.

2
Day 37: the second nudge

Shorter and lighter than the first, approaching from a different angle, with a lower ask. Most facilities never send a second message at all, which is why their rebooking rates sit where they do.

3
Day-before reminders

Sent to everyone with an upcoming appointment. No-shows are the quietest form of lost revenue because nobody notices them individually.

4
The never-started queue

Members who scanned once and then went quiet get their own follow-up track, referencing what they wrote at intake rather than a generic blast.

5
Scan cohorts

Members who scan in the same week can be grouped, with a shared rescan date and a group dynamic. People show up for people even when they would skip for themselves.

6
Everything respects opt-out

Members who do not want messages stop receiving them. Worth saying plainly, because a retention tool that burns goodwill is not a retention tool.

Operational detail

The things an operator asks in the first ten minutes.

Staff calendars
Each person who runs scans gets their own availability and their own bookable calendar. Members can book with a specific coach or with whoever is free.
Manual booking
The front desk can still book anyone in directly. Self-serve is the default, not the only option, which matters for members who prefer talking to a person.
Waitlists
When a slot is full, members can join a waitlist and get offered the spot automatically if it opens. Cancellations stop being dead time.
Multiple locations
Each branch or site keeps its own schedule, staff and hours, visible from one login.
Runs alongside your software
MARCH does not replace your membership or billing system. It handles scans, consults, classes and the follow-up around them.

Facilities we've helped

Named facilities with numbers they agreed to share. The slot below is built and waiting — it stays empty until a pilot signs off on being named.

The clearest number here is scanner utilization before and after self-serve booking, plus the rebooking rate once the day-30 invite was running. Name the facility and the window measured.

Fill this in before launch. These three figures and the story around them need to come from one named facility that has agreed in writing to be cited, with the date range the numbers cover. Performance claims in advertising have to be substantiated before they run — an unsourced number is worth less than no number at all.
